ITIN Renewal in 2026 — The 6-Week Timeline You Need to Know

If your ITIN has not been used on a federal return in the last three years, or if its middle digits have hit the IRS's expiration list, the clock is already running. Here is what renewal really takes — and where a Certifying Acceptance Agent saves your passport.

An Individual Taxpayer Identification Number (ITIN) is the IRS's way of letting people who are not eligible for a Social Security Number still file U.S. tax returns. Once issued, it is not permanent. ITINs expire — and a surprising number of immigrant families in Massachusetts find out only when their refund is held up in March, weeks before they need the money. The renewal process is not hard, but it has a 6-week clock that does not shrink because you are in a hurry.

Who actually needs to renew in 2026

Two rules trigger expiration. First, the "last-used-on-return" rule: any ITIN that has not been used on at least one federal tax return in the last three consecutive tax years expires automatically on December 31 of the third year. If your ITIN appeared on a 2022 return but not on 2023, 2024, or 2025, it expired December 31, 2025, and you cannot use it on a 2025 return filed in 2026 without renewing.

Second, the IRS phased-expiration of older ITINs by middle digits. ITINs issued before 2013 with certain middle digits (70-88, 90-99, 91-92, etc., depending on the year) have already been swept through expiration cycles. If you received your ITIN years ago and have used it sporadically, the safest move is to look at the middle two digits and check the IRS's published expiration schedule.

Family-member ITINs follow the same rules independently. If a primary taxpayer's ITIN is current but a spouse's or dependent's ITIN expired, the credit, exemption, or filing-status benefit tied to that person can be denied — even though the return itself processes.

What a renewal actually requires

Form W-7, Application for IRS Individual Taxpayer Identification Number, is the renewal form. The same form covers original applications and renewals — you check the appropriate box. The application requires proof of identity and proof of foreign status, supported by original or certified-copy documents from a list the IRS publishes.

A passport is the only single document that satisfies both requirements alone. Without a passport, an applicant must combine two or more documents from the IRS list — for example, a national ID card plus a birth certificate, plus (for dependents) U.S. school records or medical records.

The catch: the IRS wants original documents or copies certified by the issuing agency. If you mail your passport directly to the IRS Austin processing center, you will be without it for the entire processing window — typically 7 to 11 weeks during peak season, sometimes longer.

Why a Certifying Acceptance Agent (CAA) matters

A Certifying Acceptance Agent is an IRS-authorized professional who can review your original documents in person, verify them, and submit certified copies — not the originals — to the IRS along with the W-7. The applicant keeps their passport. For families that travel, that have an upcoming consular appointment, or that simply do not want to mail their primary form of ID across the country, this is the practical difference between a stressful process and a routine one.

The CAA reviews documents, completes the W-7 with the client, and submits a certified package to the IRS. Original documents go home with the family the same day.

The realistic 6-week timeline

Plan the calendar from filing-deadline backwards. If you need an ITIN attached to a 1040 by April 15:

  1. Week 1 — CAA intake. Document review, W-7 prep, certification of identity and foreign-status documents. Same-day if appointments allow.
  2. Week 2 — Package mailed to IRS Austin processing center via tracked mail. Tax return is attached to the W-7 (this is required for most renewals — you cannot file the return separately and "add the ITIN later").
  3. Weeks 3 to 8 — IRS processing. Current published average is 7 weeks during off-peak, stretching to 9-11 weeks January through April. The IRS will not respond to status inquiries before week 7, so do not call.
  4. Week 8 to 11 — IRS issues the ITIN (or notice CP567 if more documents are needed) and processes the attached return.

What happens if you file without a valid ITIN

Two scenarios, both bad. If you file a return using an expired ITIN, the IRS will process the return but disallow any tax benefits tied to dependents or filing status that require a valid ITIN — Child Tax Credit, Credit for Other Dependents, head-of-household status. The taxpayer receives a CP-series notice and a much smaller refund (or a balance due) than expected.

If you file with an applied-for-but-not-yet-issued ITIN, the return is held in suspense at Austin until the W-7 clears. Refunds are delayed by the entire ITIN processing window — meaning a January 30 filing with an attached W-7 might not see the refund deposited until late March or April.

There is also the e-file path question. ITIN applicants must paper-file the original return that establishes the ITIN. After the ITIN is issued, future returns can be e-filed normally. We see clients every year who try to e-file before the ITIN exists, get rejected, and lose two weeks figuring out what went wrong.

When to start — the practical answer

If you know your ITIN is expired or about to expire and you intend to file a 2025 return, start the renewal in January 2026, not March. The IRS Austin queue lengthens roughly 50% between January and April. A January renewal almost always clears in time for an April filing. A March renewal often does not.

If you discovered the expiration mid-season — say, your tax preparer flagged it in late February — the strategy changes. File a Form 4868 extension to push the federal deadline to October 15, then renew the ITIN cleanly during the slower summer queue. Massachusetts grants an automatic extension if 80% of the tax has been paid, but file Form M-4868 to be safe.
